REGULATIONS OF CAMPING AND THE EVENT
applicable from June 4-8, 2025, during
Camping and the Event at FH-DCE SUPER RALLY® 2025
§1 DEFINITIONS
1.Organizer (Service Provider) – HDC RIDERS OF POLAND Association based in Warsaw, NIP: 5213695218, REGON: 361230460, KRS: 0000519812.
2.Participant – refers to a person who has purchased a ticket granting access to the Camping and Event area.
3.Ticket/wristband – refers to the wristband placed on the wrist, allowing entry to the Camping and Event after purchase, provided the conditions specified in these Regulations are met. Each ticket contains an individual, unique number.
4.Camping – refers to the designated, fenced area allocated by the Organizer in the Myślęcinek Forest Park and Culture in Bydgoszcz.
5.Event – refers to the area designated by the Organizer in the Myślęcinek Forest Park and Culture in Bydgoszcz.
§2 REGULATIONS
1.The Camping and Event called FH-DCE Super Rally® 2025 in Bydgoszcz takes place from June 4, 2025, at 3:00 PM to June 8, 2025, at 12:00 PM.
2.Participants of the Camping have the right to enter the Camping and/or Event area from June 4, 2025, to June 8, 2025:
-opening of the gates for Participants on June 4, 2025, at 3:00 PM
-closing of the gates for Participants on June 8, 2025, at 12:00 PM
3.Participants of the Camping and Event may stay in the Camping and/or Event area from the start until its end, subject to the provisions of these Regulations, and then must leave the Camping and/or Event area without undue delay.
4.Entry to the Camping and Event is allowed only for individuals holding a valid ticket (wristband).
5.Possession of the wristband is to be treated as the Organizer’s individual consent for the Participant to enter the Camping and Event, which may be revoked at any time for reasons related to the necessity of maintaining safety rules and/or the rules specified in these Regulations.
6.Rules for using the purchased ticket:
-The purchased entry ticket in the form of a wristband must be secured in such a way that it does not get damaged or lost.
-An unused ticket (wristband) is non-refundable.
-The Organizer does not issue duplicates of damaged or lost tickets (wristbands).
-A damaged ticket (wristband) that does not have an individual number or has an illegible number is invalid and is not subject to refund or exchange for another ticket.
-The ticket (wristband) held by the Participant is individual and does not allow for the entry of accompanying persons and/or children.
-The purchased ticket (wristband) entitles to multiple entries to the Camping.
-The ticket (wristband) holder is obliged to familiarize themselves with the information contained in the booklet (guide) and the map, which will facilitate safe movement within the Camping and Event area.
7.The Organizer reserves the right, in conjunction with all other provisions and directives that will be visible in these Regulations and the guide for the FH-DCE Super Rally® 2025 Camping and Event or placed on a board on the premises, to:
-Refuse entry to the Camping area to a Participant in cases justified by safety reasons.
-Refuse to bring onto the Camping and Event area and use during the Event a camera, video camera, or other audio-video recording equipment. Individuals attempting to bring a camera, video camera, or other recording equipment onto the Camping and/or Event area will be denied entry.
-In cases justified by safety reasons, demand that a Participant leave the Camping and/or Event area and take appropriate steps to ensure compliance. This particularly applies to situations where a Participant disrupts public order, behaves aggressively, or violates these Regulations, social norms, or legal provisions.
-Cancel or withdraw from the Camping and Event for reasons beyond the Organizer’s control without any obligation for compensation or damages to the wristband holder.
-Refuse entry to the Camping and Event area to Participants found to possess firearms, knives, or items resembling them, items that may pose a threat to life or health, e.g., baseball bats, metal pipes, telescopic batons, knives, etc., explosives, pyrotechnics, fire hazardous materials, alcoholic beverages, narcotics, or psychotropic substances, beverages in glass, plastic, cardboard, and metal containers, individuals wearing shoes with metal tips, and any other items that may pose a threat to other Participants. In the event of suspicion of a crime, particularly the discovery of weapons or other dangerous items, explosives, pyrotechnics, fire hazardous materials, alcoholic beverages, narcotics, or psychotropic substances in the searched luggage or clothing of a Participant, a uniformed security employee will detain the person and prepare a report of the action, then hand over the person to the Police along with the seized items.
-Refuse entry to the Camping and Event area to individuals whose identification is not possible.
-Refuse entry to the Camping and Event area to individuals displaying emblems, banners, flags, signs, writings on clothing or body (including tattoos) containing prohibited content, including incitement to any forms of hatred, including racial, religious, or national hatred.
8.Individuals/Participants who refuse to undergo checks of their rights to be present at the Camping and Event, refuse to identify themselves, or do not possess documents allowing for the establishment of their identity will not be admitted.
9.Individuals visibly intoxicated by alcohol or drugs are prohibited from entering and remaining in the Camping and Event area.
10.Individuals who create a potential threat to public order, violate these Regulations, or do not comply with the Organizer’s instructions and/or those indicated by them, particularly security personnel, will not be admitted or will be removed from the Camping and/or Event.
11.Individuals present at the Camping and/or Event are obliged to behave in a manner that does not threaten the safety of others present in the area, and in particular to comply with the Camping and/or Event Regulations.
12.The following items are prohibited from being brought into and possessed in the Camping and Event area: firearms, knives, pneumatic, gas, and other weapons or items resembling them, explosives, knives, batons, knuckle dusters (including items used in sports), sticks and rods, items made of metal (especially: pipes, screws, nails, bearing elements, etc.), telescopic batons, and other items that are not prohibited by law but may be used for illegal purposes, pyrotechnics (e.g., firecrackers, sparklers, flares, torches, etc.), fire hazardous materials, narcotics, psychotropic substances, and items that may threaten life or health.
13.The Organizer reserves the right to inspect and control the clothing and luggage of individuals entering the Camping and Event area in cases specified by law; individuals who refuse to undergo this inspection will not be admitted to the Camping area.
14.The Organizer does not provide a deposit for items whose possession and bringing into the Event is prohibited.
15.The Organizer prohibits the introduction or bringing of live animals into the Camping and/or Event area.
16.It is prohibited to destroy informational boards, trash bins, benches, and any other objects and property, as well as to move devices and property located in the Camping and/or Event area without authorization, and to start fires, including grilling, using personal power sources (generators), and other devices that may cause electric shock and/or start a fire.
17.It is prohibited to enter areas or places not designated for Participants. This prohibition particularly applies to: the stage, areas designated by the Organizer, entering or passing through buildings and devices not intended for public use, especially facades, fences, walls, Camping and/or Event enclosures, lighting devices, camera platforms, trees, masts of all kinds, and other places, devices, and rooms accessible only to specialized services or Organizer employees.
18.It is prohibited to shout provocatively or incite disorder and safety disturbances, which may lead to conflict, insult, or demean others due to their gender, race, nationality, religion, age, beliefs, or any other reason, to use items that alter a person’s external appearance, thus preventing or hindering identification, to use offensive language, including displaying and hanging slogans with obscene, vulgar, and racist content; inciting conflicts, including those based on nationality, religion, social issues, etc., and throwing objects.
19.It is prohibited to relieve oneself outside of toilets, litter the Camping and/or Event area, unjustifiably occupy places in the vicinity of exits, entrances, and block evacuation routes.
20.Individuals at the Camping and/or Event who disrupt order, create a threat to other Participants, violate good manners, or bring prohibited items against the ban, or do not comply with these Regulations and the Organizer’s or security personnel’s instructions will be removed from the Camping and/or Event.
21.Participants of the Camping and/or Event have access only to designated areas according to the rules set by the Organizer.
22.It is prohibited to block or obstruct in any way exits and evacuation routes, access roads for rescue services and Police, as well as hydrants and other devices necessary in case of rescue or firefighting operations; it is prohibited to use roads and areas in a manner inconsistent with their purpose and signage.
23.Each Participant of the Camping and/or Event is obliged to familiarize themselves with the Camping and Event Regulations and the graphic plan of the Camping and Event, which will indicate the paths for the movement of individuals participating in the Camping and/or Event, evacuation routes, and access roads for rescue vehicles and Police.
24.The Camping and Event Regulations and the graphic plan will be distributed in places designated by the Organizer and on the website superrally2025.com.
25.The Participant of the Camping and/or Event is obliged to inform the Organizer or security personnel about any observed fire, smoke, threats to life, human health, or property.
26.The Organizer is not responsible for vehicles and other property left in the Camping and/or Event area.
27.The Participant of the Camping and/or Event is obliged to comply with the Organizer’s instructions and those of uniformed security personnel.
28.The Organizer of the Camping and/or Event, considering the safety of the Participants dictated by organizational changes and changes in the infrastructure of the venue, as well as taking into account the possibility of atmospheric changes, reserves the right to change the date and time of the Camping and/or Event or to cancel it.
29.The Organizer reserves the right to cancel or interrupt the Camping and/or Event without prior notice to the participants.
30.The Organizer will not be obliged to provide any compensation or damages to the Participants of the Camping and/or Event that has been canceled or will only take place in part for reasons beyond the Organizer’s control.
31.The Organizer, in executing the provisions of these Camping and Event Regulations, acts through uniformed employees of a licensed security agency entrusted with the duties of ensuring safety and order during the Camping and/or Event.
32.All vehicles parked in the Camping and/or Event area, as well as during the Camping and/or Event, without the appropriate pass allowing entry and parking, especially if parked on evacuation routes or access roads for rescue services and Police, will be towed and stored in a deposit parking lot at the sole cost and risk of the vehicle owner (information regarding parking and vehicle retrieval can be obtained at the information point located at the main gate).
33.The Organizer reserves the right to seek claims for damages caused by the Participant, including for violating their good reputation.
34.Entry of minors to the Camping and/or Event area is possible only upon presentation of a valid wristband and only in the presence and under the constant supervision of adult guardians.
35.Participants at the Camping and Event may consume alcohol purchased only at the catering points located within the Camping area.
36.The Non-Harley parking area is designated for all motorcycles that are not Harley Davidson, S&S, Buell, Indian, as well as cars, vans, campers, and other vehicles that will not be allowed into the Camping and Event area. These vehicles will have the option to park in the Non-Harley parking area adjacent to the Super Rally® 2025 area.
§3 PAYMENTS
1.The one-time fee for entry to the Camping and/or Event is:
-For cash payments or using debit and credit cards in Euro – 85 EUR.
-For cash payments or using debit and credit cards in Polish Zloty – 380 PLN.
-The confirmation of ticket purchase is the issued fiscal receipt and ticket/wristband. The purchased ticket entitles to multiple entries to the Camping and/or Event area and entry to the Camping area by motorcycle of the Harley Davidson, Buel, Indian, or S&S brands.
-In the case of cash payments, the cash register will provide change in the currency in which the payment was made.
2.The one-time fee for a parking space in the Non-Harley parking area is:
-motorcycle – included in the ticket (wristband) price.
-passenger car/van – 50 EUR or 225 PLN
-camper up to 6m – 150 EUR or 675 PLN
-camper over 6m – 200 EUR or 900 PLN
-truck or vehicle with a trailer – 200 EUR or 900 PLN
-The confirmation of ticket purchase is the issued fiscal receipt and ticket/wristband. The purchased ticket entitles to multiple entries of the vehicle to the Non-Harley parking area.
-In the case of cash payments, the cashier will provide change in the currency in which the payment was made.
3.For all transactions at catering points within the Camping and/or Event, the Participant can make payments only using:
-Debit and credit cards.
-Super Rally 2025 tokens.
-Payments made using credit and debit cards are only accepted in Polish Zloty.
4.For all commercial transactions within the Camping and/or Event, the Participant can make payments only using:
-Cash in Polish Zloty and Euro.
-Debit and credit cards.
-Super Rally 2025 tokens.
5.Conditions for purchasing Super Rally 2025 Tokens:
-Super Rally 2025 tokens will be available for purchase at a designated cash point, located in a place designated by the Organizer.
-The value of each Super Rally 2025 token is 2 EUR or 9 PLN.
-The Participant can purchase a minimum of 5 tokens or multiples thereof (5/10/15, etc.).
6.Conditions for returning purchased and unused Super Rally 2025 Tokens:
-Returns will be processed only on June 8, 2025, from 10:00 AM to 12:00 PM.
-Returns will be processed only at the designated cash point.
-Returns of Super Rally 2025 Tokens will be processed only in a minimum quantity of 5 tokens.
-The maximum refund amount for one Participant is 10 Super Rally 2025 Tokens, i.e., the equivalent of 20 EUR.
-The refund amount will be paid in Euro or PLN.
§4 FINAL PROVISIONS
1.The provisions of Polish law apply on the premises of the Camping and the Event.
2.Uniformed security personnel of the Organizer are authorized to:
-Identify individuals/Participants to establish their identity.
-Inspect the contents of luggage and clothing of individuals/Participants if there is suspicion that they are bringing or possessing weapons or other dangerous items, explosives, pyrotechnic products, fire hazardous materials, alcoholic beverages, or intoxicating substances acting similarly to alcohol.
-Issue orders to individuals/Participants behaving contrary to the FH-DCE Super Rally 2025 Regulations or violating the conditions specified in these Regulations, and in case of non-compliance, call upon them to leave the premises of the Camping and/or the Event.
-Detain individuals/Participants posing an immediate threat to the property entrusted to security and those committing prohibited acts for immediate transfer to law enforcement officers.
-Control the rights of individuals/Participants to be in designated areas not intended for Participants, particularly in areas designated for the Organizer, musical bands, and technical staff of the Camping and/or the Event, and in case of lack of such rights, call upon them to leave that area.
-Enforce legally required behavior in accordance with orders issued by authorized personnel.
-Repel direct, unlawful attacks on the life, health, or freedom of the authorized person or another individual.
-A security worker listed as a Qualified Physical Security Worker may use direct coercive measures in the form of physical force, including transport techniques, defensive techniques, handcuffs applied to the hands, and chemical incapacitating agents in the form of handheld projectors of incapacitating substances (pepper spray).
3.Participants, at the time of purchasing tickets (wristbands), accept that they may be exposed to continuous presence in areas with sound levels that may cause hearing damage, as well as in areas with strobe lights, laser effects, and pyrotechnic explosions, which may cause visual discomfort.
4.Pregnant women and individuals with epilepsy are particularly at risk.
5.The Organizer informs that during performances, there is a high level of sound wave propagation, to which children up to one year of age are particularly vulnerable.
6.In case of any doubts, each Participant and individuals mentioned in both sentences above should seek appropriate medical advice before deciding to stay on the Event premises.
7.The Organizer records the course of the Camping and/or the Event for safety, documentation, and promotional or advertising purposes for the event and future events of the Organizer and sponsors. The image of individuals present on the premises of the Camping and/or the Event may be recorded and subsequently disseminated for documentation, reporting, advertising, and promotional purposes, to which ticket (wristband) holders consent.
8.The Organizer is not responsible for vehicles left in the Non-Harley parking area, nor for items left in them.
9.In the Non-Harley parking area, the Organizer does not provide the possibility of connecting vehicles to running water or points for discharging liquid waste. The Organizer provides an electrical connection to each vehicle with parameters: 1 phase, 230 V, 10A protection.
10.The purchase of a ticket (wristband) by a Participant is equivalent to familiarization with and acceptance of these Regulations.
§5 GDPR
1.The administrator of data concerning the recorded course of the Camping and/or the Event is EKOTRADE Sp. z o.o. based in Warsaw (00-712) at ul. Melomanów 4. The Administrator can be contacted by mail at the provided address or via email: marek.powala@ekotrade.com.pl.
2.Personal data is processed to ensure safety and order on the premises of the Camping and/or the Event. The basis for processing is the legitimate interest of the administrator (art. 6 sec. 1 lit. f GDPR), which consists of ensuring the safety of individuals present at the rally and protecting property and information.
3.Personal data will be processed for a period of up to 30 days from the date of the visit. The processing period may be extended by the statute of limitations for claims if data processing is necessary to establish or pursue potential claims or to defend against such claims.
4.Data recipients may include authorized bodies based on legal provisions and entities with which the Administrator has signed data processing agreements.
