REGULATIONS OF THE FH-DCE SUPER RALLY® 2025
BIKER MARKET IN BYDGOSZCZ /JUNE 4-8, 2025/
§ 1
GENERAL RULES
- The Organizer of the Biker Market during FH-DCE SUPER RALLY® 2025 is the HDC RIDERS OF POLAND Association, based in Warsaw, NIP: 5213695218, REGON: 361230460, KRS: 0000519812.
- The Biker Market of the FH-DCE SUPER RALLY® 2025 consists of an exhibition of stands, whose offer does not include catering services.
- Applications will be accepted until March 31, 2025, or until all places are filled.
- The Organizer reserves the right to refuse acceptance of the application for participation in the FH-DCE SUPER RALLY® 2025 Biker Market without giving any reason.
- Filling out and sending the signed Exhibitor Application Form is equivalent to accepting the provisions of these Regulations and the Regulations of the Camping and Event.
§ 2
PARTICIPATION CONDITIONS
- The condition for participation in the FH-DCE SUPER RALLY® 2025 Biker Market is to express the will to conclude a participation agreement by correctly completing and sending the Exhibitor Application Form via the website, in full by March 31, 2025. The form should be completed by a person or persons legally authorized to represent the entity applying for participation.
- The participation agreement is concluded after payment of the order based on the Application Form..
- The participation fee is paid by bank transfer to the bank account number indicated by the Organizer and by the deadline specified by the Organizer.
- Failure to make the payment on time results in removal from the list without the need for notification by the Organizer.
- Participation in the Biker Market requires payment of a fee of 500 Euros for every 3 meters of the stand's frontage.
§ 3
ORGANIZATIONAL REGULATIONS
- The location of the stand is determined by the Organizer.
- The Exhibitor is obliged to enter the area and prepare the stand by 12.00 p.m. on June 4, 2025, at the latest.
- Exhibitors cannot exchange places without the Organizer’s consent.
- The Exhibitor is obliged to keep the stand in an aesthetic and orderly condition. Regularly remove waste remaining after the assembly/disassembly of the stand and its supply/equipment from the stand and the communication routes within its area.
- After the conclusion of FH-DCE SUPER RALLY® 2025, Exhibitors are obliged to remove their own exhibition and restore the occupied space to its original condition.
- Leaving the stand place and leaving the area can take place no earlier than 12:00 p.m. on June 8, 2025.
- The Organizer provides access to an electrical connection with a power of up to 2.5 kW.
- In accordance with the requirements of PIH, US, PIP, SANEPID, OHS, fire safety, etc.(relevant Polish institutions), Exhibitors are required to have current studies, permits, certificates, entries, etc., necessary to run their business. The Organizer is not responsible for the lack of the above documents and the consequences suffered by the Exhibitor due to this.
§ 4
OTHER PROVISIONS
- The Exhibitor is obliged to have all the required documents authorizing the conduct of business activities in accordance with the applicable regulations.
- Within the FH-DCE SUPER RALLY® 2025 Biker Market, it is prohibited to trade in goods or services whose possession and offering is prohibited or restricted by law and applicable regulations, and to sell goods or services that do not have the necessary certificates.
- The use of open flames, including stoves or grills, is prohibited within the FH-DCE SUPER RALLY® 2025 Biker Market. This prohibition is due to fire safety regulations.
- The Organizer is not responsible for damages or losses caused by third parties, the fault of the injured party, force majeure (e.g., acts of nature), interruptions in the power supply, and other random causes.
- The Organizer is not responsible for any damages incurred by participants as a result of the cancellation or interruption of the activities of the FH-DCE SUPER RALLY® 2025 Biker Market.
§ 5
INFORMATION CLAUSE (GDPR)
In accordance with Article 13 of the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as "GDPR", we inform you that:
1. The administrator of your personal data is the HDC RIDERS OF POLAND Association, based in Warsaw (03-736), ul. Ząbkowska 31, email: rodo@superrally2025.com.
2. Your personal data obtained in connection with participation in the FH-DCE SUPER RALLY® 2025 will be processed:
- based on Art. 6(1)(a) of the GDPR in case of consent to the collection and dissemination of the image,
- based on Art. 6(1)(b) of the GDPR, i.e., the conclusion of the participation agreement by submitting the Exhibitor Application Form,
- based on Art. 6(1)(c) of the GDPR to fulfill the tasks arising from the Act on organizing and conducting cultural activities,
- based on Art. 6(1)(e) of the GDPR to perform tasks in the public interest related to the creation, dissemination, and protection of culture, organizing artistic events.
3. Your personal data will be stored for the period necessary to fulfill the tasks arising from the processing purposes, and thereafter for the period and to the extent required by generally applicable law.
4. You have the right to access your personal data, rectify, delete, or restrict processing.
5. You have the right to object to further processing, and in the case of consent to the processing of data, to withdraw it. Exercising the right to withdraw consent does not affect the processing that took place until the withdrawal of consent.
6. The recipients of your personal data may be entities to which the personal data will be made available based on legal provisions, as well as based on entrustment agreements or your consent.
7. You have the right to lodge a complaint with the President of the Personal Data Protection Office.
